This Privacy Policy is provided by Clearbookings Limited (referred to as "us", "our", or "we") for the information of users of our services and visitors to our website(s) (referred to as "you" or "your"). We provide event registration services (the "Services"). By submitting Personal Data to us, you agree that it may be processed by us in the manner described below.

We are committed to the online privacy and protection of all of our users. We respect your right to privacy and take seriously our responsibilities in relation to the processing of Personal Data. We do not collect or process Personal Data unnecessarily. This Privacy Policy describes our current practices with regard to Personal Data collected by us from you and explains how we use the information we collect about you.

Under this Privacy Policy, and unless the circumstances otherwise require, with regard to:

  • the Personal Data we receive from our direct customers (the "Event Organisers"), we will be what's known under the General Data Protection Regulation (EU) 2016/679 (the "GDPR") as the "controller" of the Personal Data you provide to us; and
  • the Personal Data we receive from end customers that are making bookings for events organized by Event Organisers on our Site (the "Registrants"), we will be what's known under the GDPR as the "processor" of the Personal Data you provide to us.

Collection and Use of Personal Data

Information you give us:

In order to provide the Services to Event Organisers and to process registration requests for events by Registrants, we may collect information which may include but is not limited to the following:

  • Identity Data
  • Contact email address
  • Contact phone number
  • Name and address
  • Date of birth and age of participants
  • Personal description
  • Details relating to health (only to the extent required by Event Organisers in respect of Registrants)
  • Other details pertinent to particular Event Organisers

In order to process payments associated with event registrations we will be required to collect Financial Data (credit/debit card details — we use third party payment service providers and do not collect this directly).

Information we collect about you:

With regard to each of your visits to our Site, we may automatically collect the following information:

  • Usage Data: information about your visit, including the full URL, clickstream to, through and from our Site (including date and time), publications, services or other products you viewed or searched for, page response times, length of visits to certain pages, page interaction information, and methods used to browse away from the page.
  • Technical Data: technical information, including the Internet protocol (IP) address used to connect your computer to the Internet, your login name, browser type and version, time zone setting, browser plug-in types and versions, and operating system and platform.

What We Do With Your Information

We will only use your personal information when the law allows us to. Most commonly, we will use your Personal Data in the following circumstances:

  • with respect to Event Organisers, where we need to perform the contract we are about to enter into or have entered into with you;
  • where it is necessary for our legitimate interest (or those of a third party) and your interests and fundamental rights do not override those interests; and
  • where we need to comply with a legal or regulatory obligation.

We confirm that we shall not use your Personal Data for any purpose other than: in respect of Event Organisers, the operation of the contract we are about to enter into or have entered into with the Event Organiser; and in respect of Registrants, to manage the booking of the Registrant.

Payments through our Site are processed through the payment gateway of choice of the Event Organiser. Current available choices are Global Payments and Stripe.

Data Integrity and Security

We strive to maintain the reliability, accuracy, completeness and currency of Personal Data in our databases and to protect the privacy and security of our databases. We have put in place appropriate security measures to prevent your Personal Data from being accidentally lost, used or accessed in an unauthorized way, altered or disclosed. Our servers and databases are protected by industry standard security technology.

We have put in place procedures to deal with any suspected personal data breach and will notify you and any applicable regulator of a personal data breach where we are legally required to do so.

Data Access and Corrections

With respect to Event Organisers, upon receipt of your written request and enough information to permit us to identify your Personal Data, we will disclose to you the Personal Data we hold about you. We will also correct, amend or delete any Personal Data that is inaccurate. With respect to Registrants, you will need to make contact with the Event Organiser.

Your request will be dealt with promptly and in any event will not take more than one month to process. There is usually no charge applied to access your Personal Data. However, if your request is clearly unfounded, repetitive or excessive, we may charge a reasonable fee or refuse to comply.

The Site may use cookies from time to time. An Event Organiser may restrict us from processing its Personal Data in circumstances including: where it has contested the accuracy of the Personal Data; where the processing is unlawful; where we no longer require the data but it requires it for legal claims; or where it has contested the processing.

Corrections or Erasure

If the personal information we hold about an Event Organiser is inaccurate, the Event Organiser may request to have it updated and corrected. Event Organisers may also request deletion of their Personal Data where it is no longer necessary for the purposes for which it was collected. Your Right to Object

You have the right to object to the processing of your Personal Data at any time for direct marketing purposes, for profiling to the extent it relates to direct marketing, or where we process your Personal Data for the purposes of legitimate interests (except where we can demonstrate compelling legitimate grounds). Data Portability
